Academic Competencies
Evidence of Project Management training preferably through an accredited body such as APM or PMI is desirable
Degree education in engineering, project management or business studies preferred
Advanced user in Microsoft Office Suite
Fluent English (Must have)
Experience Competencies
Minimum of 8-10 years’ experience in the oil and gas industry with a proven track record in leading and managing engineering projects
Understanding and working knowledge of inspection, repairs and maintenance industry
Strong management background with first class analytical skills and commercial/financial awareness
Strong decision maker with sound problem solving aptitude
Results driven and used to working to strict deadlines
Strong team building, motivational and leadership skills
Ability to communicate effectively, through oral and written means, at all levels within EM&I, Client and Vendor organisations on a wide variety of project related matters
Ability to work independently and proactively but also as part of a team
Responsibilities
Project Management
To manage, direct and coordinate projects/site activities for the execution of the projects in compliance with all contractual requirements from planning to completion
Ensuring all allocated projects comply with Project Management Procedure (PM 103).
Ensuring project plans are produced and regularly updated, including Deltek and Planning & Execution Tool. Delegate if/when necessary
Ensuring work packs are collated and issued on time
Approval of project personnel & equipment for assigned projects
Review & ensure Daily Progress Reports are distributed daily and address any issues arising.
Ensuring scope is finished within budget and on time. Any variance to scope/budget/timeline is communicated to Senior Management and Client.
Attending internal and Client progress meetings to monitor and review project deliverables
Ensuring that all Project Deliverables, including inspection reports, close out reports and project documents are delivered to Client and relevant EM&I departments in a timely manner. Delegate if/when necessary.
Ensuring the FPAL process is completed for every project. Delegate if/when necessary
Carry out Project Kick-off meeting, Project Brief, De brief and Lessons Learnt
Conduct/Assist with preparation of Close Out Reports
Assisting with site audits in line with corporate objectives
Attend and provide input to Operations Meetings & Weekly Management Meeting if required
Interface with clients and internal customers to meet project requirements
Liaise with engineering specialists and build relationships across a range of disciplines and levels of management
Operations
Responsible for the delivery of projects to program, budget and time
Assist everyday operations ncluding assisting with the management of the stores, the approval and payment of purchase invoices, the office utilities and team building activities.
Line Management
Lead, develop and motivate the Operations Team with line management responsibility for selected members of the team
Identify and manage fast track career development of appropriate personnel through Appraisal, Training, Coaching, Mentoring and Personal KPIs:
Promote the EM&I Mission Statement and People Values
Support the Corporate KPIs with respect to Staff Development and Human Resources (HR) objectives
Work with the HR Team to ensure compliance with EM&I HR Policies
Define and assess performance against annual and project specific KPIs in support of the Corporate KPIs
Review and approve time and expense sheets
Work with the HR and Logistics teams to manage and develop personnel competency
Quality, Health, Safety & Environment (QHSE)
Ensure HSEQ procedures and standards are adhered to
Ensure personnel & equipment are sent out with appropriate certification
Support internal and external Quality Audits including knowledge of, and actions required, to ensure that the project components of ISO 9001 (Quality), ISO 14001 (Environmental) and OHSAS 18001 (Health & Safety) are fulfilled.
Commercial, Finance/Administration
Review and understanding contractual terms and conditions and supporting compliance thereof
Creation & review of CTRs including the use of cost/sell spreadsheets to determine margins.
Assisting in preparation of proposals/tenders/bids.
Review and approve Deltek Sales Invoices.
WIP Management.
Review and sign off Purchase Orders and Purchase Invoices for assigned projects as per Authority Matrix
Review and approve project related timesheets
Review and sign off Work Orders for assigned projects as per Authority Matrix
Attend & provide updates on project financial performance and budgets in Cash Management Meeting and Roll Forward
Producing monthly management reports on project management
Any other ad-hoc or project specific duties as requested by Line Manager.
